Creating an Invoice in Square

Send professional, accurate invoices in minutes—our go-to method for locking in catering gigs.

Open the Invoicing Tool

From the home menu, click on “Invoices” and then select “Send an Invoice.”

Make sure you’re in the correct location/market (e.g., Midtown Atlanta).


Confirm Client Details

The client usually emails to say they’re ready to book. Find the right client and confirm the event details. Example: “End of Year Popsicle Party.”


Input the Service Date

Enter the correct service/event date (e.g., 5/23). 


Add the Items

  • Select “King’s Choice” as the product (this is our default catering mix of classic + seasonal pops — used for about 95% of events).

  • If the client requests specific flavors, add those details to the notes/message section OR if you want to garauntee the flavor we recommend charging the listed price and selecting it as part of the catering invoice.


Set the Gratuity

Include a 15% gratuity by default unless the client has asked for something different.


Adjust Payment Settings

If the client will be paying later (e.g., by check or ACH), you can turn off the credit card payment option. You do not want to allow them the option to pay with credit card if you are not including a 3% credit card service fee. 


Review and Send

Double-check all details:

  • Client name

  • Event info

  • Pricing

  • Gratuity

  • Payment method

Once everything looks good, click Send to email the invoice. We also recommend sharing the link in the email chain that you have active with the customer.
