Using HubSpot Email

How and why to email from deal record:

  • Emailing customers from their deal record is crucial to staying as organized as possible in HubSpot
  • Franchisees are required to log their communication associated with a deal in that deal’s record in HubSpot
    • The best way to start this process is by sending your initial email to the customer from the deal record
  • On the deal record page, in the left hand sidebar near the top under Pipeline are several icons that list Note, Email, Call, Log, Task, and Meet
    • Click on the Email icon to bring up an email composition box
    • Once you send an email, that email and the thread that follows will be logged onto the deal record automatically, even if a franchisee responds in Gmail (as long as the Hubspot integration is turned on in Gmail)

Logging associations in Gmail

  • When replying to an email from a customer in Gmail, the email composition box will show, under the Subject line on the right-hand side, two checkboxes that say “Log” and “Track”.
  • Make sure both checkboxes are checked before you send your reply
  • If you need to verify whether your emails are logging to the correct place in Hubspot, click the dropdown right beside the Log checkboxes, that has a number of records listed beside it
    • The dropdown will list the Contacts, Companies, Deals and Tickets that the thread is currently logged to. Make sure the appropriate boxes are checked and unchecked as needed
